Studio Operations Coordinator - Metalhead

We are seeking an Studio Operations Coordinator who will take a primary role in studio-wide initiatives pertaining to Employee Experience, Employee Communications, Studio Health and Studio Operations. This position will report into the lead Development Director, Metalhead. As a part of our Operations team, you’ll be essential in helping our smaller studio function smoothly and efficiently. We will rely on you to actively foster an engaging employee experience for the employees at our studio by continuing ongoing programs, and devising new opportunities and solutions.

You are passionate about studio operations, business operations, you thrive in a creative environment, and you enjoy working with and supporting teams in delivering the best games possible. You will have worked in a business operations and/or administration role for 3+ years, supporting and working with multiple stakeholder teams. You can identify and mitigate risk, and be a key player in setting and achieving our studio’s goals. Experience working in a creative studio environment is a plus! 

Responsibilities:

 

Partner/Stakeholder Teams

  • Work with Finance to develop annual forecasts, perform quarterly adjustments, and evaluate overall performance versus budget prediction. Anticipate the financial needs of the studio and determine strategies to make best use of budget while complying with operational processes.
  • Work with Accounting to follow and amend operational processes where necessary for efficient studio operations.
  • Work with various other partner teams like Benefits, Marketing, and Legal in order to best support the studio and its needs.

 

Budget & Spending

  • Manage studio budget and spending, and have autonomy on various spending decisions.
  • Analyze monthly studio spend data to prepare reports for various stakeholders, and to draw conclusions about spend effectiveness where possible in order to inform requests for future initiatives and continuing of programs.
  • Analyze requests by studio team regarding training & development, travel and materials cost to ensure intentional, fair and unbiased approach to purchasing is maintained by decision makers.

 

Metalhead Studio / Workplaces 

  • Collaborate with Workplaces to develop proposals for workspace improvements and to create new operational processes pertaining to facilities, space usage, adjustments, and amendments, based on new studio needs.
  • Collaborate with Facilities to learn and champion specialized operational processes.
  • Work with Real Estate construction team to understand operational processes of deficiencies and construction management, and act as on-site project manager for construction including knowing scope, completion requirements and contingencies.
  • Own, manage and maintain relationships with vendors (audio visual services, janitorial staff, office experience, building maintenance staff, etc.), responsible for initial work scope negotiations, quality verification and evaluating changes in work against potential risks. Collaborate with vendors on timeline updates, and make informed decisions based on progress.
  • Oversight of studio-specific projects (i.e. building repairs). Responsible for being the on-site source of truth, and understanding project scope, requirements, and contingencies. 
  • Responsible for knowing and advocating for all equipment prerequisites, contingency plans, and work timelines. Identify risks, create contingency plans, and work with SMEs to mitigate risks.
  • Oversight on all studio events, including logistics, contract negotiations, financial budget, etc.
  • Identify areas for improvement on studio processes and communications.

 

Communications

  • Prepare and present information to a variety of audiences (ranging for leadership to studio-wide) on relevant topics like budget, partner teams, workspaces, etc.
  • Lead weekly studio ops meetings/discussions.

 

Qualifications:

  • Proficiency with MS Office, Google Workspace, and the ability to pick up on new programs quickly
  • Clear, kind, & direct communication style
  • Creative & passionate for creating experiences for employees
  • Unafraid to challenge the norm and identify opportunities for improvement 
  • Organized with a planning mindset, and the ability to keep track of many small projects and tasks at the same time
  • Comfort in reaching out to and working with people in the broader organization as well as outside of EA
  • Flexibility as you take on a variety of different projects that may differ from your day-to-day tasks
  • Desire to take ownership, be responsible and find solutions autonomously
  • Love for events and creating memories for others

Bonus Qualifications:

  • A diploma or degree in administration, business or similar
  • 3+ years of business administration related experience
